When the signature line isn’t where you need it, just open the Insert tab → Signature Line and drop it right after your closing line.
What’s going on here?
The program inserts a neat horizontal line with a placeholder for your actual signature. If that line’s missing or in the wrong spot, your printed letter ends up looking anything but professional.
Here’s how to fix it
- Put your cursor three lines below the closing word—like “Sincerely,” for example.
- Head to the Insert tab on the ribbon.
- Click Signature Line in the Text group.
- Pick Microsoft Office Signature Line from the dropdown.
- In the Signature Setup box, type your full name under Suggested signer. Add a title in Suggested signer’s title if you like.
- Hit OK. The signature line pops in right below the closing.
- Want a digital signature? Double-click the line → Sign → grab a digital certificate or scribble your signature on a touchscreen.
Still not working?
- Check your view: Switch to Print Layout (View → Print Layout) to see exactly where the line sits on the page.
- Replace the line: Select the signature line → right-click → Cut. Then run through the Insert → Signature Line steps again to place it properly.
- Update Word: Go to File → Account → Update Options → Update Now so you’re using the latest signature-line template.
How to stop this from happening again
- Create a fresh document and add your letterhead, date, and closing line.
- Insert the signature line once, then save the file as “Formal Letter Template.dotx”.
- Use this template for every future letter—your signature line will already be in the right place.
- For people you write to often, toss their email address into the Quick Parts gallery (Insert → Quick Parts → Save Selection to Quick Part Gallery) so the line and closing line up automatically.
(Honestly, this is the best way to keep your letters looking polished without repeating the same steps every time.) As of 2026, Word still drops the signature line below the closing salutation by default. If your company wants the signature on the right margin instead, just tweak the paragraph alignment to Right after you insert the line, then set a tab stop at 5 inches (Layout → Margins → Custom Margins → Right tab stop).
