Need your W-2 fast?
Log in to your employer’s payroll portal (most use ADP, Paycom, or Paylocity as of 2026). Navigate to Tax Documents > 2025 W-2 and download the PDF. Print one copy for your records and file the digital version in your tax folder.
What the W-2 Actually Tells You
This form is basically your year-end pay stub on steroids. It shows how much you made (Box 1 covers wages, tips, and other cash) and what got withheld for federal taxes (Boxes 2, 4, 6, 17-19). State and local tax info lives in Boxes 15-20. Plus, your employer’s EIN and your Social Security number are there—so the IRS can match everything up neatly.
Step-by-Step: How to Read and Use Your W-2
- Find Box 1—this shows your taxable income for federal purposes. Compare it to your final pay stub. If they don’t match, you might have deferred compensation or fringe benefits sneaking in.
- Look at Box 2. That’s how much federal tax was withheld. If it’s negative, you overpaid. If it’s zero, brace for a bill.
- Boxes 3 & 5 cover Social Security and Medicare wages. These usually match Box 1 unless you maxed out your 401(k) or HSA contributions.
- Plug Box 1 and Box 2 numbers into your tax software (TurboTax 2026, H&R Block 2026, or IRS Free File Fillable Forms). The software does the math and tells you if you’re getting a refund or owe money.
- Save a PDF copy somewhere secure—like Apple Notes with Face ID or Bitwarden. Name it something clear like W2_2025_EMPLOYERNAME.pdf.
If This Didn’t Work
- Still no W-2 by February 1, 2026? Employers have until then to mail or electronically deliver them. Give it a few more days.
- Got a corrected W-2 (Form W-2c)? Recalculate your return using the new Box 1 and Box 2 numbers. If you already filed, submit Form 1040-X to fix it.
- Never received one at all? First, check with HR or payroll through your company’s portal. If they ghost you for 10 days, call the IRS at 1-800-829-1040 and file Form 4852 (your substitute W-2).
